Recruitment system
4. Purpose of use of the register
Companies belonging to the Ahlstrom-Munksjö Group (collectively “Ahlstrom”) use an online recruitment system produced by an external service provider in their resourcing related activities and recruitment processes. The system is used globally to advertise open jobs at Ahlstrom-Munksjö and to receive, process and store applications sent by job seekers. You can appoint your application for a specific job or send an open application.
When registering your application data in the recruitment system, you provide Ahlstrom-Munksjö with your personal data and indicate that you are interested in working at Ahlstrom-Munksjö. Therefore, your data will be used to find suitable candidates for open positions at Ahlstrom-Munksjö.
Your application data will be stored for two years. If your application is not approved, your data will be removed from the system within this time. Your data can only be stored longer if so permitted by the specific country's legislation.
All data provided will be handled confidentially.
5. Data content of the register
When applying for a job at Ahlstrom-Munksjö, you will be asked what job you are interested in, and to enter your personal and contact data (name, telephone number and address details) and to provide information about your work experience, education, skills, competence, motivation, salary request and references. When providing Ahlstrom-Munksjö with information about third parties (e.g. references), you need to obtain a permit for entering such information from the specific third party. You can also supplement your application with other documents, such as your CV/resume and/or a covering letter. The application process may also include work-related queries.
Your application data will be reviewed together with other data you have provided with Ahlstrom-Munksjö during the recruitment process (e.g. during interviews and assessments).
6. Regular sources of data
The primary source of the data stored in the register is the job seeker. Other sources of data will be used within the limits permitted by laws and legislation.
7. Regular disclosure and transfer of data
Your data will not be regularly disclosed outside Ahlstrom-Munksjö. Only those Ahlstrom-Munksjö employees who take part in the recruitment process in different parts of the world have the right to review and process your data.
However, Ahlstrom-Munksjö may transfer your data to authorized external service providers (e.g. the supplier of the recruitment system or IT support) that, upon an assignment issued by Ahlstrom-Munksjö assist Ahlstrom-Munksjö in the recruitment process.
Ahlstrom-Munksjö is an international company with transboundary business operations, IT systems and administrative processes. As a result, your data can be used globally during the recruitment process. You understand that your data may be transferred to countries where the legislation governing privacy protection is not as strict as in the country in which you are using our recruitment system or are otherwise providing Ahlstrom with your personal data, and that your data may be transferred outside the EU or EEA during the recruitment process and within the scope of IT and system supervision and maintenance. By disclosing your data, you give your express consent to such transfers. Procedures set out in Ahlstrom's privacy policy are applied to any disclosure or transfer of data.
Furthermore, your personal data may also be used or transferred when a specific statutory obligation exists.
8. Principles of data security
Your data will be saved in the system controlled by Ahlstrom-Munksjö. The use of the system is subject to a username and personal password which have only been assigned to employees working in Ahlstrom-Munksjö's HR administration, recruiting managers and the provider of the recruitment system to the extent as required by their tasks.
The system is protected using the operating system's protection methods, a firewall and other technical means.
9. The right of inspection and the execution thereof
This data privacy statement is available on the company's website at www.ahlstrom-munksjö.com/careers.
You have the right to inspect all information about yourself that has been saved in the system. An inspection request must be presented in person or in writing using a signed letter. Any requests must be presented to the contact person stated in Section 2.
10. Correction of data and the implementation thereof
The controller must, independently or upon the applicant's request and without any undue delay, correct, remove or supplement any data which is incorrect, unnecessary, incomplete or outdated considering the purpose of processing and which is located in the register.
